Assistant to Executive Director

Provide administrative, secretarial and organizational support to the Executive Director of SIM East Asia.

Roles and Responsibilities

    Provide administrative, secretarial and organizational support to the Executive Director (ED), SIM East Asia Limited

  2. 2

    Organize and oversee diary scheduling, arrange meetings and coordinate travel arrangements

  3. 3

    Plan and coordinate meetings with internal and external stakeholders, prepare agenda and take meeting minutes.

  4. 4

    Manage the ED’s email correspondence, phone calls and mails by prioritizing matters and responding as appropriate and/or requested

  5. 5

    Prepare and edit documents, presentations, and reports as needed

  6. 6

    Coordinate all the logistics, travel arrangements, budget, and communications for the annual Regional Entity Meeting

  7. 7

    Administer the annual review process for all team members under the ED’s responsibility

  8. 8

    Coordinate with relevant parties to ensure that required documents to MCCY and ACRA are submitted annually within the time frame

  9. 9

    Serve as the ED’s primary point of contact for internal and external stakeholders.

Qualifications and Desired Skills

    Preferably with A-level/Diploma in Administration, Management or a related field

  2. 2

    3 years or more of proven secretarial experience

  3. 3

    Good communication, organizational and interpersonal skills, independent, resourceful, self-motivated and a team player

  4. 4

    Ability to exercise discretion and diplomacy in dealing with confidential or sensitive matters

  5. 5

    Work well under pressure on time

  6. 6

    Proficient in MS Office, Teams and Zoom

  7. 7

    Singapore Citizen or PR
